Goods Transportation Customs Clearance Process

When goods are shipped from their originating port to their destination port, they must undergo customs clearance to ensure they pass through customs and enter the country legally. This is an essential step in international trade. At Alphasauna, we often use trade terms such as DDP, FOB, and CIF. These terms require the preparation of appropriate customs clearance documents, and the responsibilities for customs clearance vary.

1.DDP

Alphasauna uses DDP terms, which are handled entirely by our partner freight forwarder. Our authorized freight forwarder prepares and declares relevant customs clearance documents, leaving customers with nothing to worry about. They simply wait for delivery. This makes it suitable for individual buyers with small orders. As the seller, we only need to conduct rigorous inspection and packaging before loading, and monitor the loading and delivery to the port in real time. We then entrust the freight forwarder with all subsequent handling until the customer goods receipt, confirming they are correct, and the order is completed.

2.FOB / CIF

FOB:We are responsible for preparing customs declaration documents and transporting the goods to the port of departure, providing the corresponding customs clearance documents to customers, and bearing the risks before transportation to the port of departure and the customs clearance process after arrival at the port of destination.
CIF:We are responsible for preparing customs declaration documents, arranging shipping, and insurance. Upon arrival at the destination port, the customer is responsible for customs clearance and tax payment.
Both FOB and CIF terms are suitable for bulk purchases of transportation.
Documents Required for Customs Clearance:The most basic customs clearance documents for FOB and CIF are the bill of lading, packing list, and commercial invoice. If wooden packaging or specific products are involved, additional documents such as fumigation certificates, phytosanitary certificates, and certificates of origin are required. These documents are usually provided by the product supplier.

3.EXW

The seller only needs to inspect, pack, and prepare the goods at the factory, while the customer is responsible for all subsequent steps, including pickup, export, transportation, customs clearance, and tax payment. This clause requires pre-arranged pickup time, and the seller assists in preparing basic customs clearance documents. This clause is generally suitable for customers with their own freight forwarders and transportation channels.

Goods Inspection Before Signing

To protect your rights, please carefully inspect the goods and record their condition when signing for them. If you encounter any problems, please provide us with timely feedback so that we can assist you as soon as possible.

1.Check the Outer Packaging and Goods

First, before signing for the goods, take a look around the packaging to see if the wooden box is damaged, deformed, or has been opened.

2.Take Photos and Videos to Preserve Evidence

Take photos or videos for record when goods receipt. If any abnormalities are found, make a note on the goods receipt that “the goods packaging is damaged.”

3.Verify the Quantity and Model of the Goods and the Damage to the Goods

Then shoot an unboxing video to verify whether the quantity and model of the goods are consistent with the purchase order. If the goods are damaged, the actual extent of the damage to the goods must also be checked.

4.Timely Feedback

If you find that the goods are damaged or the quantity is abnormal, please contact our salesperson in time. We will assist in analyzing and identifying the cause and confirming the responsible party so that we can better and faster solve the problem, trace the responsibility, and avoid missing the time limit for recovery.

Despite strict packaging and transportation controls, various unexpected situations may still occur, such as delayed delivery of goods, damaged packaging, inconsistent quantities, missing parts, etc. If not handled promptly, it will not only affect the use progress, but may also cause unnecessary economic losses.

You can search online to check the logistics process, or you can contact the logistics staff at the stagnation point through communication to inquire about the reasons for the long stagnation.

What Should I Do if the Packaging Is Damaged or Damp?

When signing for the package, first inspect the condition of the goods. If you find any damage to the packaging or signs of water damage, note the damage on the goods receipt and take photos as evidence. Then, take an unboxing video to check if the product inside is damaged or damp.
If there is no damage or moisture inside, try to see if the product can be used normally. If it can be used normally, it may be that the packaging was damaged during sauna shipping, and the product was not affected.
Damaged Product:
If the product inside is also damaged, you will document the damage and contact the salesperson to trace the responsibility of the relevant department. We will find out the specific cause of the damage and negotiate a claim solution with the freight forwarder who bears the risk and our salesperson.
Product Damp:
If you are shipping wooden products, such as saunas, and the packaging shows signs of water damage, open the packaging and inspect the interior for water seepage and moisture. If you notice moisture, discoloration, or mold on the wood, immediately take photos and videos, including close-ups of the affected area. Immediately notify our sales representative and freight forwarder, providing complete photos of the damage and a description of the problem. Our sales representative will assist you in communicating with the freight forwarder and insurance company and initiating the claims process.

How to Deal with Missing Goods?

When signing for the goods, if you find that the product quantity does not match the purchase order, or there are missing parts, please be sure to take photos or videos as evidence and send the pictures or videos to the manufacturer‘s salesperson. After verifying the warehousing, loading and transportation records, confirm whether there are any missing or lost parts.
If the item is confirmed to be missing, we will immediately arrange for a replacement. If the item is lost in transit, the freight forwarder will assist in the claims process. We handle issues quickly to protect our customers’ rights.

Division of Responsibility and Claims Process for Damage During Transportation

In international transport, liability for cargo damage usually depends on the terms of trade.
If the order is placed using DDP terms, the seller is responsible for all transportation risks. The goods will be packed and shipped to the customer’s address via a freight forwarder. If the goods are damaged during transportation, we are responsible for assisting the customer in filing a claim.
If the order is made under FOB/CIF terms, the risk is transferred to the buyer after the goods arrive at the port of departure. However, we will still provide freight forwarding liaison and assistance to help customers understand the claims process and ensure that issues are followed up and resolved in a timely manner.

The product is then packed into wooden crates for shipment, and the product’s interior is counted and photographed before being sealed. If desired, customers can also purchase our loading and unloading pallets to facilitate loading and unloading operations and effectively prevent damage during handling.

Freight Forwarding Transportation Safety Protection

We entrust professional freight forwarders to track and manage cargo transportation to ensure safe transportation. Once the goods are delivered to the carrier, the risk and responsibility are transferred to the freight forwarder, eliminating the need to worry about damage or loss during transportation, ensuring a worry-free delivery.
When goods arrive at the agent’s warehouse, the freight forwarder will take photos to inspect them. This is an essential step in the transportation process, verifying the condition of the goods received and providing physical evidence in case of damage. The goods are then loaded onto a ship and unloaded by the agent upon arrival at the port of destination. Some agents will also take photos again upon arrival to verify the safe arrival of the goods. The goods are then transported locally to the customer’s address, ensuring full traceability.

If the goods arrive at the customer’s address and are signed for, and you find that the product quantity is inconsistent after unpacking, please take a photo and contact our salesperson. After verification, we will promptly provide solutions such as reissue.

Answer: Yes, but we recommend you entrust a reliable signatory and instruct them in advance to take photos, inspect the packaging, and verify the quantity upon signing. If any damage or unusual quantities are detected, promptly provide the relevant documentation to the salesperson to expedite processing and avoid delays in subsequent claims processing.

Question2:What Should I Do if My Goods Are Randomly Inspected by Customs or Customs Clearance Is Delayed?

Answer: This is usually caused by random inspections or document reviews. For DDP orders, there’s no need to worry. We and our freight forwarder will follow up every step of the way. For FOB/CIF terms orders, we’ll assist you in contacting your local freight forwarder and provide supplementary documentation or invoices to expedite shipment release.

Answer: Some countries have strict quarantine requirements for wooden products entering the country. A fumigation certificate verifies that the wood has been treated for pests, while a phytosanitary certificate confirms that the wood is safe and pest-free.
